Summer Audit 2009

A Message from the Baroness

To whom it may concern,

During this reign, we have seen our numbers jump quite significantly, to about 25-30 people a week on average. With such a large influx of new players, we have tried hard to integrate them into Amtgard, encouraging them to make garb and weapons. We have tried hard to make our new fellows welcome and to help them conform to the highest standards of Amtgard play.

Our recruiting activities have included a demo at San Luis High School, where we held a mini-iron man tournament with a prize of two short swords. We also had a booth at the Cal Poly (the college we are affiliated with) open house, where we participated in a quest with several other campus clubs. Finally, we held a small demonstration at PolyCon, a local gaming convention. We also have planned another demo at San Luis High School in the fall with their LAN party club, and at the Cal Poly Week of Welcome for incoming freshmen.

We held a weapon making day on the field on June 11th, and continued our promise of materials for one free short sword for all dues-paid members. Many of our new members brought someone to the field to make a weapon, and those members have been bringing weapons to the field on a regular basis.

Arts and Science afternoons were continued, with two sessions at the University Union on Cal Poly's campus. We helped several members make their first garb, as well as weapons, and provided a sewing machine for any to use. We have plans to continue this, with two more A&S afternoons planned during this reign.

Cal Poly's club funding of $500 was useful during this reign. Not only were we able to fund free tunics and sword making materials for every dues paid member, but we were also able to fund two meals for 150 people at Darkshore this year. In addition, we rented space at Santa Rosa Park to host the Westmarch Crown Qualifications. The club had $.26 left over after funding all of our activities from September to June this year. We plan to apply for those funds again when school starts in the Fall.

Sincerely,

Lady Leah, Baroness of Seven Sleeping Dragons

A Message from the Prime Minister

To whom it may concern,

My most recent reign has been marked by a sharp uptick in attendance, which is referenced several times in the attached documentation. This, along with the increasing number of younger players, has at least provided some variety in my duties. We are doing well financially, our numbers are excellent, and all we are really missing is a method to inspire some of our new members to enter office.

Any questions our comments about this latest audit package can be directed to me by email, or by private message on the caamtgard.com boards.

Sincerely,

Griffin Köford, Prime Minister of Seven Sleeping Dragons

o Copies of bank statements and financial records for the past six months

The most recent audit period has been excellent for us financially - the donation of the materials for our feast at Westmarch Quals meant that we made a $103.27 profit rather than taking a loss of approximately $120. Furthermore, our recent uptick in membership has come with a corresponding increase in dues-paid members. Dues payments have accounted for at least as much income as the feast, and our ledger balance stands at $406.51. A scanned copy of the ledger is available for perusal here.

There were two minor problems with the ledger during this period. First, the initial count from the feast profits was flat-out wrong, as some spare change was apparently simply dumped into the cash box. Wite-Out™ corrected the problem once an accurate count was made. The second problem was one of addition based on the faulty first count. Corrective fluid once again got us back on track.

Meanshile, our account with ASI at Cal Poly still exists, but continues not to be our primary method of storing or moving funds. The readout from our account is available in a 2-page PDF here.

o Copies of sign in sheets for the past six months

Our recent uptick in membership has necessitated an increase in average sign-in sheet length. Fortunately, Adobe Acrobat Professional has managed to compress the resulting 49 page file down from 8.2 megabytes to 4.1 megabytes - the compressed file is here. We have also had a large number of visitors spreading out to other lands - Wavehaven's Pro-Tem Prime Minister was kind enough to provide us with this report showing some of these visits to the lands beyond our own.

As the audit period extended a month earlier than our Prime Minister had earlier realized, an additional file is needed to represent all sign-ins for the audited period. This is that file, showing sign-ins for January.

There was, as indicated in this thread on the caamtgard.com forums, no meeting the weekend of February 7th.

o List of current officers

    Monarch: Lady Page Leah
    Regent: Lady Faye
    Prime Minister: Man-at-Arms Griffin
Champion: Vacant (See Crown Election Results)

o List of current dues-paid members

We have recently been blessed with an upsurge in membership, and a corresponding uptick in the number of people wishing to pay dues - often for multiple terms at a time. Very few of the people on this list are voting qualified, many are underage, and many more payed as family groups.

Note that entries marked with an asterisk after their persona name payed as a family.

Therefore, our currently dues-paid (though not necessarily voting-qualified) members comprise the following list:

Dave I. (Deimos)
Jessica F. (Leah)
Mike P. (Cronin)
Nate W. (Nate)
Daniel N. (Tycus)
Ian S. (Reptar)
D.J. M. (David*)
Daryl M. (Borak*)
Daniel M. (Griffin)

o Results of most recent crown quals

As Westmarch Quals and Midreigns are hosted by a different Westmarch land each time they are held. This time, Quals for Westmarch occured on our field, and, as such, the event doubled as our own set of Quals. The results were made available to the public through this thread on the Westmarch forums, and the full results of the A&S competition are available on Google documents.

o Results of most recent crown elections

As detailed in this post on the Westmarch boards, the results of our latest round of elections were as follows:
Baroness:
Leah: 8 Confidence
Regent:
There will be a special Althing next week to consider Lady Faye for the position of Regent Pro-Tem, as she is our only mostly qualified candidate.
Champion:
Reptar: 7 Confidence, 1 No Confidence
GMR:
None

It should be noted that the subsequent Althing unanimously approved Lady Faye for the position of Regent, and that issues with housing forced our Champion-elect, Reptar, to move out of the area. The duties of Champion have been nobly shouldered by Baron Deimos, the Champion of Westmarch.

While we are still not formally required to submit proof of advertising, it nevertheless seems advisable to do so. This
flier is, several years after its inception, still one of several designed along similar lines (but with
different pictures exhibiting different fighting styles) that we
currently hand out and post.

Winter Audit 2009

A Message from the Baron

This audit package marks the second reign after Seven Sleeping Dragon's promotion to Barony status. I have had the honor and pleasure of being Monarch during this time. This reign would have been much more difficult if not for the assistance and contributions of the rest of SSD's monarchy (Regent Page Leah, Prime Minister Man-at-Arms Griffin, and Champion Woman-at-Arms Braith).

SSD managed to raise 251 cans/packages of food weighing in at 222lbs during our Thanksgiving and Christmas food drives. This was an impressive amount considering the state of the economy, and the fact a majority of our group is college students. This topped our last year's total of 220 cans/packages. All food was donated to the Food Bank Coalition of SLO.

We again held demonstrations at Cal Poly and at San Luis Obispo High School in a recruitment attempt. We are elbow deep in the process of paperwork to hold a booth at Cal Poly's Open House.

Regent Leah once again jumped through many hoops with Cal Poly to obtain our annualized funding. The funds are unused as of yet, as we are throwing around ideas and budgeting its use. We have run 2 Arts & Science nights (with two more planned this reign), using the materials purchased with last year's endowment to make tunics and swords.

Our group ran into smaller numbers over December break, which is typical for the group (mostly college and high school students). Inclement weather also hampered meeting times. With sunnier times and students back from break, our numbers are stabilizing once again.

Baron Deimos
Monarch of Seven Sleeping Dragons

A Message from the Prime Minister

As per our contract with Dragonspine, we are required to submit several items to provide proof of our existence, and justification for our exalted Baronial status. As always, the list is copied and pasted below, with the actual required details posted beneath each item.

o Copies of bank statements and financial records for the past six months

Our statement from ASI - our equivilent of banking through Cal Poly - resides here, and a copy of our ledger accompanies it here.

Baron Deimos included the following letter along with the file:

The bank statement provided with Seven Sleeping Dragons audit package is a printout of the bank statement provided by the Cal Poly Associated Students Inc. Seven Sleeping Dragons is also a Cal Poly San Luis Obispo university club, going by the name of The Amtgard Society of Poly (Cal Poly Group #73440), and as such, are provided a club bank account through the Cal Poly ASI. Funds in the account are accessed through written submission for reimbursement of funds through the ASI.

Item 12/5/08 was a deposit by the Cal Poly ASI. Cal Poly ASI provides $500 per fiscal year to any club who makes a request for the funds. This is the second year our group has taken advantage of this policy. This is the only activity in the account from 7/1/08 to present. Cal Poly has control of the account, and this is the only statement available.

The monarchy is currently soliciting ideas and budgeting for use of this year's disbursement.

o Copies of sign in sheets for the past six months

Due to the eccentricities of my scanner, some of these are a little crooked, but they are all present and accounted for, and have been combined in to this attractive and compact file.

Thanks to income during period when the ledger was elsewhere, the current available cash balance of the Barony of the Seven Sleeping Dragons is $124.24.

o List of current officers

Monarch: Baron Squire Deimos
Regent: Page Leah
Prime Minister: Man-at-Arms Griffin
Champion: Woman-at-Arms Braith

o List of current dues-paid members

Currently our dues-paid (though not necessarily voting-qualified) members is as follows:

Dave I.
Summer Audit 2008

The time has come for audits once again, and this year it's online in public fashion. In addition to my own small introduction, our monarch, Baron MaA Deimos, has provided a cover letter for this audit package.

As a Barony, albeit a fairly new one, we need to submit several different pieces of information. These items follow in the form of a bulleted list with details beneath.

Copies of bank statements and financial records for the past six months

We begin with our General Ledger. We currently have $74.24 in cash and mixed coinage to our names, and more should arrive in the next month as more dues are paid.

At one point (6/28/08), there is a major error with the current value of the ledger. This was a rather odd day - our latest quest day, in fact - during which the intake of the cash box was not monitored, and it has become apparent that not everybody who ate food at the event paid. After our Regent had been reimbursed, the value could not be determined on site in a timely fashion.

The following text comes from Baron MaA Deimos to explain our current bank statement:

The bank statement provided with Seven Sleeping Dragons audit package is a printout of the bank statement provided by the Cal Poly Associated Students Inc. Seven Sleeping Dragons is also a Cal Poly San Luis Obispo university club, going by the name of The Amtgard Society of Poly (Cal Poly Group #73440), and as such, are provided a club bank account through the Cal Poly ASI. Funds in the account are accessed through written submission for reimbursement of funds through the ASI.

Item 5/8/08 was a deposit by the Cal Poly ASI. Cal Poly ASI provides $500 per fiscal year to any club who makes a request for the funds. This was the first year our group took advantage of this policy.

Item 6/30/08 was a reimbursement for funds used to procure materials for a garb making day, and for materials procured for use during our June quest.

Item 6/6/08 was a reimbursement for funds used to procure materials for a weapon making day, and for feast supplies for lunch provided by SSD at Darkshore.

Item 3/18/08 and 6/23/08 were in error. Funds were credited to our club account intended for a different club. We notified ASI of the error and they made the appropriate correction.

Copies of sign in sheets for the past six months

Anybody wishing to download these sheets should be warned: They total more than 8 megabytes, and I have been unable to reduce the file size without reducing the quality to the point of being illegible. The sign-in sheets for 1-5-08 through 1-26-08 are online here. The sign-in sheets for 2-2-08 through 7-19-08 are available here. The sheet for 7-26-08 has the dubious distinction of having its own file, which resides here.

List of current officers

Monarch: Baron Man-at-Arms Deimos
Regent: Page Leah
Prime Minister: Griffin Köford
Champion: Man-at-Arms Ailliath
GMR: Lady Faye

List of current dues-paid members

Dave I.

We're doing a quest day here in SSD!

Where: At Meadow park in San Luis Obispo (it's off of south street)
Why: Well, we sorta sat down and thought, you know what would be neat? It would be neat to have a quest. And invite all our friends. Yeah. Or something like that.
How: Um, with foam swords, maybe some armor, a bit of garb...you know, the usual.

I'll
fill in more details as I get them, such as the title of the quest and
such. Just wanted to let peoples know the date in advance.

Website Design "Begins"

As most of our long-term members (and many of our short-term members) will be aware, our old website, hosted by Cal Poly, is, and long has been, essentially useless. Finally, in an act of desperation, our long-running Prime Minister, Griffin, sat down and designed a site.

Then, he designed it again, using Blosxom to fuel the news on the main page. While that was neat for a cheap-and-easy solution (Blosxom will probably see use elsewhere on the site - stay tuned), it wasn't nearly good enough. Instead, he (he being the person writing this entry in the third person, namely Griffin, also known as "me") decided to upgrade to Movable Type, to allow the rest of the monarchy to make news posts easily.

So, here we are, on the third major revision of the website since April 1st, and, as a result, the third version of this news post. Enjoy!

April Althing

There will be an Althing held this weekend to determine, among other things, whether we should be promoted to Barony. I know how I'm voting - hopefully we'll be upgraded on Monday!
