Summer Audit 2009

A Message from the Baroness
To whom it may concern,

During this reign, we have seen our numbers jump quite significantly, to about 25-30 people a week on average.  With such a large influx of new players, we have tried hard to integrate them into Amtgard, encouraging them to make garb and weapons.  We have tried hard to make our new fellows welcome and to help them conform to the highest standards of Amtgard play. 

Our recruiting activities have included a demo at San Luis High School, where we held a mini-iron man tournament with a prize of two short swords.  We also had a booth at the Cal Poly (the college we are affiliated with) open house, where we participated in a quest with several other campus clubs.  Finally, we held a small demonstration at PolyCon, a local gaming convention.  We also have planned another demo at San Luis High School in the fall with their LAN party club, and at the Cal Poly Week of Welcome for incoming freshmen. 

We held a weapon making day on the field on June 11th, and continued our promise of materials for one free short sword for all dues-paid members.  Many of our new members brought someone to the field to make a weapon, and those members have been bringing weapons to the field on a regular basis.

Arts and Science afternoons were continued, with two sessions at the University Union on Cal Poly's campus.  We helped several members make their first garb, as well as weapons, and provided a sewing machine for any to use.  We have plans to continue this, with two more A&S afternoons planned during this reign. 

Cal Poly's club funding of $500 was useful during this reign.  Not only were we able to fund free tunics and sword making materials for every dues paid member, but we were also able to fund two meals for 150 people at Darkshore this year.  In addition, we rented space at Santa Rosa Park to host the Westmarch Crown Qualifications.  The club had $.26 left over after funding all of our activities from September to June this year.  We plan to apply for those funds again when school starts in the Fall.

A Message from the Prime Minister
To whom it may concern,

My most recent reign has been marked by a sharp uptick in attendance, which is referenced several times in the attached documentation.  This, along with the increasing number of younger players, has at least provided some variety in my duties.  We are doing well financially, our numbers are excellent, and all we are really missing is a method to inspire some of our new members to enter office.

o Copies of bank statements and financial records for the past six months
The most recent audit period has been excellent for us financially - the donation of the materials for our feast at Westmarch Quals meant that we made a $103.27 profit rather than taking a loss of approximately $120.  Furthermore, our recent uptick in membership has come with a corresponding increase in dues-paid members.  Dues payments have accounted for at least as much income as the feast, and our ledger balance stands at $406.51.  A scanned copy of the ledger is available for perusal here.

There were two minor problems with the ledger during this period.  First, the initial count from the feast profits was flat-out wrong, as some spare change was apparently simply dumped into the cash box.  Wite-Out™ corrected the problem once an accurate count was made.  The second problem was one of addition based on the faulty first count.  Corrective fluid once again got us back on track.

Meanshile, our account with ASI at Cal Poly still exists, but continues not to be our primary method of storing or moving funds.  The readout from our account is available in a 2-page PDF here.

o Copies of sign in sheets for the past six months
Our recent uptick in membership has necessitated an increase in average sign-in sheet length.  Fortunately, Adobe Acrobat Professional has managed to compress the resulting 49 page file down from 8.2 megabytes to 4.1 megabytes - the compressed file is here.  We have also had a large number of visitors spreading out to other lands - Wavehaven's Pro-Tem Prime Minister was kind enough to provide us with this report showing some of these visits to the lands beyond our own.

As the audit period extended a month earlier than our Prime Minister had earlier realized, an additional file is needed to represent all sign-ins for the audited period.  This is that file, showing sign-ins for January.

There was, as indicated in this thread on the caamtgard.com forums, no meeting the weekend of February 7th.

We have recently been blessed with an upsurge in membership, and a corresponding uptick in the number of people wishing to pay dues - often for multiple terms at a time.  Very few of the people on this list are voting qualified, many are underage, and many more payed as family groups.

Note that entries marked with an asterisk after their persona name payed as a family.

o Results of most recent crown quals
As Westmarch Quals and Midreigns are hosted by a different Westmarch land each time they are held.  This time, Quals for Westmarch occured on our field, and, as such, the event doubled as our own set of Quals.  The results were made available to the public through this thread on the Westmarch forums, and the full results of the A&S competition are available on Google documents.

As detailed in this post on the Westmarch boards, the results of our latest round of elections were as follows:

Regent:
There will be a special Althing next week to consider Lady Faye for the position of Regent Pro-Tem, as she is our only mostly qualified candidate.
Champion:
Reptar: 7 Confidence, 1 No Confidence
GMR:
None

It should be noted that the subsequent Althing unanimously approved Lady Faye for the position of Regent, and that issues with housing forced our Champion-elect, Reptar, to move out of the area.  The duties of Champion have been nobly shouldered by Baron Deimos, the Champion of Westmarch.
While we are still not formally required to submit proof of advertising, it nevertheless seems advisable to do so.  This flier is, several years after its inception, still one of several designed along similar lines (but with different pictures exhibiting different fighting styles) that we currently hand out and post.
